The Busy Entrepreneur's Guide to Google Docs

I have been using Google Docs since 2007- almost 15 years!  Back then with its standard features, I quickly fell in love with it, so now that it has greatly evolved, I have even stronger feelings for it.  There is so much to love about Google Docs (hereโ€™s a post with examples and here is another), but today I want to share specific things that you can do with Google Docs that are must-haves for busy entrepreneurs and bloggers.

To start, letโ€™s talk about what Google Docs is and take a look at it. 

  • Google Docs is Googleโ€™s tool for word processing. This means if you need to type different documents for your business, this is where you can do it.

  • If you know Microsoft Word, you will feel right at home with Google Docs because it is a similar structure as MS Word.

  • There are various features in Google Docs that make it easy to get your documents created and provide a professional look such as charts and graphs, images, tables, and font formatting.

Now that you have an idea of what Google Docs is and how you can use it, letโ€™s get into the awesome features that it has to offer for busy entrepreneurs and bloggers.


1. Collaboration

This is probably the most important thing that is available in Google Docs if you are a busy entrepreneur.  If you work on brand collaborations or if you have a team that works with you, the ability to collaborate in a doc is great!  You can easily share files, allow others to edit your files, leave comments, mark up the doc, have a chat inside of the doc itself, and much more.  These are things that make it a smooth process when others are involved in a task or project, and also when everyone needs access to the details so everyone can be on the same page.


2. Make docs available offline

This is one of my favorite features because I am all about productivity and not relying on a wifi or data connection to get things done. You can make any file available offline so if for some reason you find yourself with no connection but you still need to work on something or view contents in a doc, you can still do that. You must make the file available offline on the device that you will be viewing/working on first, and when you make changes to it, they will be synced to the cloud once you have a connection and open the doc again.


3. Voice Dictation (mobile and Chrome)

This is another awesome feature for a busy person, because you can multitask! If you are working on a document that is long-form (writing a letter, writing a pitch, writing a blog post, writing a book, writing an email marketing email, etc.), you can transcribe your words to text by either selecting the microphone in the menu bar (this only works in the Google Chrome web browser currently) or by clicking the microphone on your keyboard on your phone. Once you click the microphone, you can speak out whatever content you need to, and you can also work on something else at the same time. I like to cook or drive (safely) while using voice dictation!

4. Compatible with MS Word

As an entrepreneur working with other brands, you may find yourself receiving contracts or other documents that originated in Microsoft Word. The great thing about Google Docs is that it is compatible with MS Word documents, so you can easily open and edit them without having Word installed on your machine. You can also save a Google Doc as an MS Word doc with little to no change in format (some features in MS Word are not compatible with Google Docs, but the basics are there!). This is great because you may not want to purchase MS Word, so this is a great way to put the purchase off for a little longer (or maybe even forever depending on how you use it!).

5. Thereโ€™s an App for that!

As with any productivity tool, the option of using an app is crucial. Luckily, Google Docs has a mobile app so you can be productive on the go. The great thing about the app is the same features of the desktop version are available in it as well. You can access docs that you create, and also make them available off-line. This is key when you are a busy entrepreneur: the ability to respond and work on things while you are away from your desk. It could be as simple as reviewing a contract that was updated, or edits that were made to a document by your assistant. If you are on the go, you can still view these edits, make changes and submit them through the app.

6. Itโ€™s a part of Google Workspace

Google Workspace is the product that contains all of Google's Productivity apps such as Google Docs, Google Sheets, Google Forms, Google Slides, Google Drive, etc. When you use Google Docs, you can easily integrate with the other Google tools inside the document. If you want to insert a graph from a spreadsheet, you can easily import it from your Google drive. If you want to add an image from a document into a Google slide, you can easily save the image to your Google keep and import to slides. The ability for all of these tools to work together makes your processes much smoother and streamlined.

7. Integrates with other business and Productivity tools 

If you use other tools to run your business, you can easily integrate them with Google Docs. Tools outside of Google Workspace can be integrated in other apps such as Trello, Asana, or Slack. These integrations can either happen through the other digital tool, or by using an automation tool such as Zapier or IFTTT. This opens up the productivity of your business, because you can automate processes rather than hiring out to have these things completed. Simple things such as saving attachments of Google Docs to your Google Drive or Dropbox are things that can be done through automation tools. If you are a one woman show, automation is definitely your best friend because it will get the job done just as you would do it if not better and faster.

Meal Planning and Prepping Tips: School Lunch Edition

Now that school is back in session, I have another level of planning to do.  Last year, my daughter was in Kindergarten and she was digital for the entire year.  Now that school is open in-person for all, 1st grade if her first year actually in her school.  As  I do still work a day job, I am still spread thin and continue to find ways to save time for the different tasks that I have.  With Ava being in school, lunches are a little different from what I would make when she was home for Kindergarten.  Now I have to be more mindful of things that will and will not transfer and stay in their original state until lunch.  Today I will be sharing my meal planning and prepping tips for school lunches.

Before I get into this, I wanted to tell you that I was looking into Bento Box lunches for kids on YouTube to get some ideas on creative things I can do and ways to make her lunches exciting and something she looks forward to each day.  As I watched a few videos, I realized that their style of lunch making didnโ€™t align with my life.  The people that I watched did not have day jobs, so they had more time to do extra special things to the lunches and make fun, edible items.  Iโ€™m all for this, however, not as someone that has a job to maintain during the day and plenty of things to do in the evenings.  This is actually what inspired me to create this post, because you may be a Mom like me that also has a day job while building a business and also has family obligations. We honestly donโ€™t have much extra time to dedicate to make a school lunch on a โ€œYouTube Momโ€ level.  And listen, Iโ€™m not knocking YouTube Momโ€™s because that is a job in itself and I applaud you.  HOWEVER, the tips that Iโ€™m going to share will still be extra special things that your child will like, and will also not take a long time to prepare.  These lunch ideas are scaled down, but Iโ€™m still keeping it cute!

1. Simplify

You know your child better than anyone else in the world, so create a lunch grocery list with the things they love to eat in mind.  This way, they will look forward to lunch everyday, and you can easily keep a running list of items you know they like which will make lunch prep simple.

My approach to making lunch is similar to my approach for making dinner:

  • Prep items in advance in bulk so you can easily pull them from a container/bag throughout the week

  • Buy items already prepped (carrot sticks, apple slices, etc.)

  • Choose lunch items that are quick and easy to make and also healthy



2. Keep up the rotation

Establish a rotating schedule for the items you use to make lunch.  Sandwich two days, wrap two days, something different the 5th day.  2-3 vegetables and 2-3 fruits for the week.  Two different drink options, and a few different chip and cracker options.  Iโ€™m not one to keep junk food around my house...for one because I will eat it and I donโ€™t need to, and two because my household overall eats well and tries to keep the junk minimal.  This is why I am always buying a variety of produce so we donโ€™t get bored with the same things all the time.  This goes for general items like sandwiches as well. You can spice them up by remixing them with different breads, meats, cheeses, spreads, etc. so it wonโ€™t be the same boring sandwich all the time.

3. Be prepared

I like to prep items in advance as I mentioned earlier.  For example, I purchase whole carrots then peel and cut them into sticks in bulk and place them in a Ziplock bag so I can easily pull from it throughout the week.  I also do this with broccoli and cucumbers.  I wash fruits and place them in containers that I can also easily access throughout the week.  I usually set time aside on Sunday to batch clean and prep produce, and I donโ€™t have to think about it anymore until the following Sunday.

Other ways to prep items in advance would be popping popcorn and placing it in a sealed bag, washing, cutting and storing lettuce (Ava loves salad, so I make them for lunch sometimes as well!), slicing apples and preserving the color with a squirt of lemon, etc.  

Lastly, when talking about prepping, in order to eliminate morning stress, pack lunches at night! I always pack Avaโ€™s lunch at night because I donโ€™t want to spend the time in the morning doing it. Mornings can be hectic as is especially without proper preparation, so do as many things as you can in advance to eliminate or greatly lower the morning rush stress.

4. Give a personal touch

For the first few days of school, I put cute notes in my daughterโ€™s lunchbox.  Apparently I was more excited about them than she was because she said she didnโ€™t want them in her lunchbox anymore.  To her point, some of the words on the lunch notes that I got were a little advanced and who wants to try to learn new words during lunch break?  I tried sifting through the lunchbox notes that were short and easier for her to read, but she still didnโ€™t want them.

Since she didnโ€™t want the notes, I still wanted to do something cute that she would appreciate and be surprised with each day.  This is how I now add a personal touch to her lunch that is not a note:

  • Put napkins in the bag of cartoon and superhero characters that she likes

  • Use a cupcake liner (My Little Pony since she loves them) to house crunchy snacks like cheese crackers

  • Instead of a written note, I now put a sticker of one of her favorite cartoon characters onto a post-it note and stick that to her Bento Box.

These are small things I do that donโ€™t require much time or thought (I keep all of these little items together in the drawer of the counter where I make her lunches for convenience), but I know that since they are her favorites, she will be happy to see them.

5. Know your limits

Donโ€™t stress yourself out trying to make the perfect lunch.  The perfect lunch is one where a child has something to eat.  If you are cool with packing lunch but donโ€™t want to do the bento box thing, donโ€™t do it.  If youโ€™re like me and see someone on YouTube packing a lunch and making a small pumpkin that only involved a tangerine and a celery stick and decided that was just too much to add to your plate, thereโ€™s nothing wrong with saying, โ€œNope! Not for me!โ€.  Thereโ€™s also nothing wrong with saying to hell with packing lunch, Iโ€™m just going to load money on the lunch card and keep it moving!  I respect everyone and whatever decision is best for them, their time, and their family.
